  1. A grant application can be sponsored by one person or by a group.  If more than one person is applying then the primary contact should be identified as the sponsor and all others as co-sponsors.  The sponsor’s contact information must appear on the application.  The sponsor will be notified by PEF via email so it is important that their email address be written clearly and legibly.
  2. Once a grant application has been completed and signed by all of the sponsors and co-sponsors, it should be given to the Principal for review and signature. Notify the grant administrator, Maryellen Grady, mwgrady@gmail.com that the grant is in process.
  1. After the grant application is signed by Principal, it must be placed in the PEF mailbox in the school office by the application due date.   Notify the grant administrator, Maryellen Grady, mwgrady@gmail.com that the grant is in the PEF box.
  1. A PEF representative will collect all grant applications and prepare a summary for the PEF Board Meeting.  Grant sponsors and co-sponsors are welcome to attend the PEF Board meeting, but it is not required.  However, for grants with a large financial request it is helpful for a sponsor to be available to answer Board questions.  If you want to clarify any aspect of a grant, please contact a PEF Board member prior to the meeting. 
  1. PEF will notify sponsors of grant decisions via email.  PEF will make best efforts to notify all sponsors within 48 hours of grant decision.  Sponsors should contact PEF representative if they have questions or have not received notification on their grant request. 
  1. Once a grant is awarded, the monies are provided to Parker via the school account administrator.  The Parker school accountant administers all PEF grants according to standard school requisition procedures.  Questions about these procedures should be addressed to the Parker school accountant.  Please note that the school is only authorized to approve spending that is consistent with the grant application and within the budget outlined in the grant application budget section.  Monies not spent according to the application are returned to PEF. 
  1. If a PEF grant is requested outside the grant cycle, the same application process is followed, but you must notify the PEF Chair, Mary Feeley, mefeeley@charter.net, of the timing and need for “out of cycle” grant request.  The PEF Chair will notify the PEF Board members via email and request a vote.
